Purpose Statement

The purpose of this Photography and Videography Policy is to outline Sydney United Volleyball Club’s (SUV) commitment to safeguarding the privacy and safety of all individuals when photographic images and video are obtained, used, or published by SUV employees, contractors, volunteers, members, or approved third parties during club activities, competitions, and events.


Policy Application

This policy applies to all SUV employees, contractors, volunteers, members, and any other individuals or organisations bound to comply with SUV rules.

It covers all conduct and behaviour when obtaining photographs and/or video recordings during club activities, competitions, and events, and applies to all devices capable of capturing images, including:

  • Mobile phones

  • Laptops and tablets

  • Cameras and film/video equipment

  • Drones


Definitions

  • Child/Children: A person under 18 years of age.

  • Photograph(s): Used interchangeably with photos and filming.

  • Member: An individual registered as a member of SUV.

  • Video: Includes video recording, live streaming, and any digital moving images.


Background

SUV recognises that photographing or filming sport is a common practice, typically conducted for legitimate and acceptable reasons.

While Australian law does not specifically prohibit photographing people (including children) in public, SUV is committed to ensuring that images are not exploited or misused.

It is unlawful to take photographs or videos that are:

  • Indecent or sexual in nature

  • Defamatory or harmful to reputation

  • Used for cyberbullying or harassment

  • Used commercially without consent

  • Taken in restricted areas, protected by court order, or voyeuristic

Photography rules on private property differ from public property. Approval is required in schools, childcare centres, hospitals, sports arenas, and other privately owned venues, even if publicly accessible.


Policy Statement

SUV recognises the importance of capturing and celebrating moments in volleyball while prioritising the safety and privacy of participants.

SUV does not impose a blanket ban on photography or videography but requires all participants to act responsibly in accordance with this policy.

Acquiring Images

  • Images should reflect positive participation in volleyball; inappropriate images are prohibited.

  • All images must be used for private or SUV club purposes only and may not be sold to third parties without consent.

  • Photography permission is obtained via the SUV Membership Registration Agreement. Members must notify SUV in writing if they do not consent to photography or videography.

  • Photographers, whether professional or volunteer, are not permitted unsupervised access to children.

  • Coaches must inform athletes and parents/guardians if video is used for performance analysis.

  • Media or professional photographers must be clearly identifiable (e.g., high-visibility vest).

  • Signage will be displayed at events where photography or videography may occur.

Displaying Images

  • Seek permission before taking images for promotional purposes.

  • Ensure all images are appropriate, relevant, and athletes are suitably clothed.

  • Avoid images that:

    • Are offensive, indecent, or demeaning

    • Harm an individual’s reputation

    • Reveal personal details (full names, contact info, location)

    • Show children in distress

  • Use first names only when publishing images of children.

SUV Promotional Images

  • SUV may appoint official photographers/videographers for promotional purposes.

  • Signage will advise members when official photographers are present.

  • Images captured by official photographers remain property of SUV and cannot be sold or shared without permission.

  • For media campaigns beyond social media (e.g., large print signage), SUV will seek consent for the use of images.


Complaint Process

  • Concerns about inappropriate photography should be raised with an SUV employee or volunteer immediately.

  • SUV staff may request individuals to stop taking photos or videos; authorities may be contacted if non-compliance occurs.

  • Police will be contacted immediately for indecent images or recordings in sensitive areas (e.g., change rooms).

  • Images posted online without consent should first be requested for removal by the poster. If unsuccessful, report to the social media platform.


Policy Breaches

SUV takes breaches seriously and will handle them promptly, sensitively, and confidentially.

  • Disciplinary action may be applied per SUV Complaints Management Procedure.

  • If a criminal offence is suspected, authorities will be notified.
